Privacy Policy

1. Overview

AEM Spectrum Consulting LLC ("we," "us," "our") operates the AssignRide Dispatch schedule generation service. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.

We built AssignRide Dispatch with a privacy-first architecture: uploaded manifest files are processed in memory and discarded immediately after a response is returned. We do not build profiles of riders, drivers, or monitors, and we do not sell any data to third parties.

2. Data We Process

2a. Uploaded PDF Manifests

When you upload a manifest PDF, it is transmitted over an encrypted HTTPS connection to our server, processed to extract text (rider names, pickup times, addresses, booking IDs), and the result is returned to your browser. The PDF file and extracted text are deleted from server memory immediately after processing. We do not log, cache, or store manifest content.

2b. Rate and Monitor CSV Files

Rate tables and monitor assignment files you load are held in your browser session (client-side memory only). They are not transmitted to our servers. Closing or refreshing the page clears them entirely.

2c. Account Data (future feature)

If you create an account, we will collect your name, email address, company name, and billing information. This data is stored securely and used solely to provide the Service and process payments.

2d. Usage and Technical Data

We collect standard server logs including IP addresses, browser type, and timestamps of requests. This data is used for security monitoring, debugging, and service improvement. Logs are retained for 30 days and then deleted. We do not use third-party analytics trackers (e.g. Google Analytics) that track users across sessions.

2e. QRyde Helper Chrome Extension

The optional AssignRide QRyde Helper Chrome extension runs only on https://wwq.qryde.com when you use AssignRide Dispatch. It reads trip row data from the QRyde schedule table you have open and sends it to your AssignRide browser tab when you click Grab schedule.

  • We do not collect browsing history outside QRyde.
  • Trip data is not sold or used for advertising.
  • Data flows only between QRyde, your browser, and AssignRide Dispatch.
  • You may uninstall the extension at any time from Chrome.

3. Personal Data in Manifests

Transport manifests typically contain personal information about riders, including names and home addresses, and may include information that indirectly reveals medical conditions (e.g. destinations like dialysis centers or hospitals). This data is considered sensitive.

Because we process this data only in transit and do not retain it, we act as a data processor rather than a data controller for manifest content. Your organization (the transport operator) remains the data controller and is responsible for the lawful basis for processing and for compliance with applicable privacy laws.

HIPAA Notice

If rider data in your manifests constitutes Protected Health Information (PHI) under HIPAA, a Business Associate Agreement (BAA) must be executed before using this Service. Contact us at legal@assignride.com to request a BAA. Do not upload PHI without a signed BAA in place.

4. How We Use Data

We use the data we collect solely to:

  • Process your uploaded PDFs and return schedule output (manifest data)
  • Provide, maintain, and improve the Service (usage logs)
  • Communicate with you about your account and the Service (account data)
  • Process payments and prevent fraud (billing data)
  • Comply with legal obligations

We do not use manifest content for training machine learning models, advertising, or any purpose other than returning schedule output to you.

5. Data Sharing

We do not sell your data. We may share data only in these limited circumstances:

  • Service providers: Cloud hosting and payment processing vendors who are contractually bound to protect data and use it only to provide services to us.
  • Legal requirements: If required by law, court order, or to protect the rights and safety of users or the public.
  • Business transfers: In the event of a merger or acquisition, with notice provided to users.

5a. Cookies and Local Storage

AssignRide Dispatch uses a small number of cookies and browser storage entries to operate the Service. We do not use advertising or cross-site tracking cookies.

You can clear cookies and local storage in your browser settings at any time. Blocking essential cookies may prevent sign-in from working.

6. Data Security

We implement the following safeguards:

  • All data in transit is encrypted via TLS 1.2 or higher (HTTPS)
  • PDF files are processed in isolated server memory and never written to disk
  • Server infrastructure is hosted in SOC 2-compliant data centers
  • Access to server logs is restricted to authorized personnel only
  • No manifest content is cached, indexed, or searchable after processing

No system is 100% secure. If you believe a security incident has occurred, contact us immediately at security@assignride.com.

8. Your Rights

Depending on your location, you may have the right to:

  • Access — request a copy of personal data we hold about you
  • Correction — request correction of inaccurate data
  • Deletion — request deletion of your account and associated data
  • Portability — receive your account data in a machine-readable format
  • Objection — object to certain processing activities

Because we do not retain manifest content, we cannot fulfill access or deletion requests for rider, driver, or monitor data that appeared in uploaded PDFs — that data no longer exists on our systems.

9. Children's Privacy

The Service is not directed at individuals under 18. We do not knowingly collect personal data from minors. If you believe a minor's data has been submitted through the Service, contact us and we will take appropriate action.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify account holders of material changes by email and update the effective date above. Continued use of the Service after changes constitutes acceptance of the revised policy.
